The five-business-day rule
Almost every Orange County property manager requires a COI on file at least five business days before move day. The COI has to name the management company, list the building or address, and include the standard endorsement language. Lucia at our office writes COIs into the standard packet for every gated booking, no upcharge.

What goes wrong at the gate
Most bouncebacks fall on a short list of fixable mistakes:
- COI submitted late — under five business days, the office may refuse the file
- COI names the master HOA instead of the sub-HOA, or vice versa
- Visitor permit pulled for the wrong date because the homeowner moved the date and forgot to update the portal
- Freight elevator booked by the wrong unit number
- Truck arrives outside the building’s posted move-in hours (most Orlando mid-rises: 8am-5pm weekdays, 9am-3pm Saturdays, never Sundays)
The day-of paperwork carrier
Every NK crew chief into a gated community carries a printed packet, never a phone-screen PDF. Guards want paper:
- Signed binding flat figure
- COI hard copy with property management stamp
- Visitor permit print-out
- Freight elevator booking confirmation
- Crew W-2 IDs (some HOAs ask)
- NK truck registration and Florida HHG license card
Mid-rise specifics
Lake Nona, MetroWest, and downtown Thornton Park mid-rises layer two more requirements on top of HOA gates: a freight-elevator booking and a move-in fee paid to building management. The booking is a 2-hour or 4-hour slot. Miss it and you load through the passenger elevator with a guard timing you.

Do you charge extra for HOA paperwork?
No. The COI, the freight-elevator booking call, the master vs sub-HOA check — all of it sits inside the binding flat figure.
What if my HOA wants a specific COI form?
Forward it to Lucia at intake. We’ve filed on most Orange and Osceola County HOA forms by now.
Can you move on a Sunday in a gated community?
Rarely. Most Orlando HOAs prohibit Sunday moves. Check your CC&Rs — if Sunday is allowed, we’ll schedule it.
What about a same-day or last-minute move into a gated address?
Possible only if your community allows walk-up COI submission. Avalon Park and Hunter’s Creek sometimes will; Lake Nona mid-rises almost never. Call us and we’ll check.
